Smart Solutions with Smartsheet - Team Work LogDo you wish you had somewhere for people to fill out requests, that notifies them when your team's status changes, notifies your team on assignment, and produces actionable work management for your team? Well...you can set that up in about 15 minutes with Smartsheet and significantly automate your team's work tracking.Here's the steps:1) In Smartsheet, create a new Card type sheet. 2) Open that new sheet and click Forms...Create Form3) This will be the form for users to request work from your team. So, you should remove fields like Status, Assigned To, Priority as you will set those internally. Then use the + symbols under the form fields to add anything else that you want to capture like "Problem to Solve" or "Desired Due Date" or "Urgency" etc4) If you are on a corporate account, click the Settings tab and select "Require login". That will capture the email of the requestor in the Created By field. If you are on a personal account, add a Contact field to the form called "Requestor". Select this new field and choose "Email address" for the validation. You may want to add some text to ask people for their email address in this field. If you want to ensure they get notifications, make this required.5) Save your form and return to the sheet6) Click the Automations menu...Create Automation from Scratch. The trigger will be "When rows are added or changed" and "Status is Any Value". Add an Alert action. Change the "Send to specific contacts" to "Send to contacts in a cell" and choose the Created By column (if you enabled login on the form) or the Requestor column. Edit the subject and body of the alert to make sense for your requestors. Save the automation. This automation will notify the requestor when you change the status.8) Create another automation, triggered by changes to Assigned To. Send this alert to the Assigned To cell. This notification tells your team members when they are assigned to work.9) Create another automation, this time change "When rows are added or changed" to "When date is reached". Change "one time" to "custom". Setup a weekly schedule. Set the action to Update Request and send to the Assigned To cell. This automation will send an email to your team members for each assigned piece of work, each Monday, asking them to update status. They can update status on a simple web form, which updates your sheet when submitted.10) Exit the automation menu11) Almost done! In your sheet, you should already see Card View selected, but if not then change to Card View. In this view you can manage assignments and status updates by dragging and dropping work items between lanes. You can enhance this solution in numerous ways by adding colors for your cards through conditional formatting, add reports (including "my assignments" report, dashboards, Dynamic Views for requestors, Workload Tracking, and more.Happy Smartsheeting!

Smartsheet Tip: Get the Row NumberSmartsheet automation can really enhance your business process automation. More importantly, you can do that automation yourself, without waiting for an IT expert to do it for you!There's many reasons to get the row number into your data. Perhaps you want to build a WBS, maybe you need to order your child rows, maybe you want a unique ID. Whatever the case, it's pretty straightforward. I use this all the time in my solutions.1. Create a auto-number column called Auto, unless you already have one. You can set the auto-number to be any set of prefix text, number, and suffix that you like. Or leave it as just a plain number.2. Create a text/number column called Row Number. In a cell in that column, enter the following formula: = MATCH(Auto@row,Auto:Auto,0)3. Right click the formula you just entered and select Convert to Column Formula.And voila! You now have the row number in your data.How does this work? - The Autonumber column creates a unique identifier for every row. - The Row Number column uses MATCH. MATCH is a powerful function that finds the first match that it can and returns the relative position of that match. * Auto@row tells MATCH to search for the value in the Auto column, for the current row. Because the formula is a Column Formula, it applies to each row. So...for each row, the formula will search for the Auto column value for that row. * Auto:Auto tells MATCH to search the entire Auto column for that value * 0 tells MATCH to search unordered...not to assume an order to the Auto column. When MATCH finds the row's value in the Auto column, it returns the relative position where it found that column. If you're on row 6, the relative position in the entire column is 6.... your row number :-)

After 3 years of using Smartsheet daily, I’m getting around to certifications. Core App done and now Control Center too. Next up…SysAdmin!If you’re curious- Control Center is Smartsheet’s answer to scaling Project Portfolio Management up to 60k projects per program. That’s a lot of projects!
